Account Information

Port995.com collates information about users when they sign up to the service. From the site's registration form, we obtain the user's name, postal address and e-mail address for Central Contact, Billing and Admin purposes. This information is used for system administration and for contacting the user when necessary. Contact is made for reasons relating to customer support, account upgrades, new feature announcements, virus alerts, and maintenance disruptions to the mail service.

It is the requirement of users to keep their personal and contact details updated via their Account Control Panel.

Financial information is also collected in respect of billing for purchased services. Credit/debit card payments are collected over Secure Sockets Layer (SSL) with a certificate verifed by Thawte. All card details are then encrypted using PGP and then submitted for processing to Barclays Merchant Services. All payments (whether by credit or debit card or cheque) are confirmed by email and all users have available an online VAT invoice to account for their payments.

No personal or financial information is passed to any third party individual or company nor to any legal entity unless required and authorised to do so by a UK court of Law.

Cookies

With the exception of our Webmail system and our support forums, we do not use cookies on our website, and cookies are not required to sign up for an account or perform any account management functions.

The Webmail system and support forums we provide on our site are written by external groups and as a result do require cookies.

The Webmail system uses cookies to store an encrypted version of your username and password when you log into the system. This information is then sent back to the server as you navigate around the Webmail system, allowing the system to identify your session and authenticate with our mail servers to access your mail boxes.

The forum system we use requires cookies to store a session ID. When you log into the system, your browser is assigned a reference number, which it stores as a cookie. This number is then associated with your username and you can navigate the forums as the correct user. If you only want to read postings rather than write, you need not accept the cookies the forum system sends.

IP addresses

Our Web server logs a number of details, including connecting IP addresses, for the entire of our website. These details are never passed on to third parties, but are used internally for debugging and support purposes, and the logs as a whole are analysed to provide statistics for internal use.

Banner and other advertising

It is not the policy of Port995.com to insert advertising into customer emails - either incoming or outgoing - but we reserve the right to provide advertising within a user's Account Control Panel and on the Port995 website.

Security

We use SSL (Secure Socket Layer) connections for all sensitive sections of our site (the Account Control Panel and the account signup form). However, if you prefer, you can access our entire site via an SSL connection.

To switch to SSL for all sections of the site, you can click on the menu option “Go Secure!” or alternatively simply visit https://port995.com/. If you select this option, all communication with our Website will be encrypted, including any access to our support forums.

We also provide secure and non-secure connections for incoming and outgoing email via SMTP, POP and IMAP (provided your email client supports these features) to provide the maximum level of security.
